How Soon Do I Lose Access Once I’m No Longer a Student?
- Day 1: The day the countdown begins. The timeline for losing access to various resources starts when your college marks you as "Graduated" in Banner. This may occur immediately following your graduation date, or it may occur days, weeks, or even months later.
- Microsoft 365 Applications: 30 days. You can continue to use Microsoft 365 apps for 30 days after you’re marked "Graduated." After 30 days, you will no longer have access to the Outlook desktop application as well as access to and data stored within OneDrive, Teams, OneNote, or any other Microsoft 365 application will be removed. You will still be able to access your NEOMED email online (see next section below.) See What should I do before I lose access?
- Online Email: Contingent on periodic access to your account. You can continue to use your NEOMED email on the web after you’re marked "Graduated" in Banner as long as you log into your account once every 183 days. For accounts that have inactivity greater than 183 days, your NEOMED email will be closed, and you can no longer send emails from your @neomed.edu email address, receive emails sent to your @neomed.edu email address, or access emails you sent or received in the past. - For a leave of absence to be considered authorized, you must complete the necessary paperwork and receive approval from the Registrar’s Office or your college.
- As long as your is authorized, you should retain access to the same resources to which you had access as an active student for the duration of your leave. This includes your NEOMED email address and Microsoft 365 applications.
- To confirm this, reach out to your college or the Registrar’s Office to confirm that all paperwork has been filed and processed, and your status has been set to reflect your leave of absence in Banner.
- Day 1:. The timing for losing access to various resources occurs when the University marks you as "Withdrawn" or "Dismissed" in Banner. Following this designation, you will no longer have access to the Outlook desktop application as well as access to and data stored within OneDrive, Teams, OneNote, or any other Microsoft 365 application will be removed. You will still be able to access your NEOMED email online. See What should I do before I lose access?
- On Day 1 (Separation Date): Losing access to various resources occurs on your last day of employment as an active employee – that is, your termination date in Banner.
- Microsoft 365 Applications: On Separation Date. After your separation date, you will no longer have access to the Outlook desktop email application, OneDrive, Teams, OneNote, or any other M365 application. See What should I do before I lose access?
- Online Email: On Separation Date. After your separation date, your NEOMED email is closed, and you can no longer send emails from your @neomed.edu email address, receive emails sent to your @neomed.edu email address, or access emails you sent or received in the past. How Soon Do I Lose Access If I Have Some Other Affiliation with the University?
Since you are considered both a student and an employee, you will retain access to various resources based on whichever timeline would continue your access the longest – the timeline for students, or the timeline for employees.
Your access to NEOMED resources is discontinued based on the timeline for employees for any services that have been granted to your account.
If you have a NEOMED email account and/or access to other protected NEOMED resources, but don’t fall into one of the previous categories above, chances are you have a Sponsored Account.
How do I Know if I Have a Sponsored Account?
You probably have a Sponsored Account if you fall into one of the following categories:
- You’re doing work for NEOMED but are not being paid directly by the University,
- You’re taking courses or attending a camp at NEOMED but are not officially enrolled as a student through the Registrar’s Office.
- You’re performing research for a department but are not receiving a paycheck from NEOMED.
- You’re participating in a special program or opportunity through NEOMED that requires you to log in to a NEOMED website.
Examples include:
- Vendors
- Contractors
- Consultants
- Temporary workers
- Volunteers
If you’re not sure whether you have a Sponsored Account, check with your supervisor or department.
What Happens to my Sponsored Account when my Relationship with the University Ends?
Your access to NEOMED resources is discontinued based on the timeline for employees for any services that have been granted to your account.
