Microsoft 365 - Outlook - Inbox Limits & Tips for Cleaning Up Your Inbox

By default, all accounts in Microsoft 365 email accounts have 50 GB of storage. Limits for message size (including attachments) is 35 MB.

Follow the steps below to view the amount of space left within your account.

View Available Space

Outlook Web App

  1. Log into Outlook Web App
  2. Click the gear icongear/settings _icon(top right), then View all Outlook settings.
  3. Go to the General category, then click the Storage option.

Outlook Desktop App

  1. Click File. The Account Information page should display.
  2. Under Mailbox Cleanup you will see the amount of space used and remaining.

Quickly find large attachments filling up your Inbox

Outlook for Desktop

  1. Scroll down in your Inbox folder list to the Search Folders section.

  2. Click on the Large Mail search folder.

  3. Choose to:

  • Delete the email if it is no longer needed

  • Remove the attachment(s) by right-clicking on the attachment and choosing Remove Attachment

  • Save the attachment(s) to your computer by right-clicking on the attachment and choosing Save As... or Save All Attachments...

Also, don't forget to clean out your Sent and Deleted Items.

Outlook for Web

  1. From the Inbox (or any desired sub-folder), click on Filter, then Sort by, then Size

  1. The mail within that folder will be grouped by size (ex. Enormous, Huge, Very Large ...).
  2. At this time there is not a way to remove just the attachment. You download or save the attachment to OneDrive, then delete the email - or use the Outlook client to remove just the attachment.
