Requesting IT Support through Room Calendar Reservations

Overview

When reserving rooms on campus, there is a standardized format utilized by various departments on campus to review, approve and support academic sessions. The following article outlines the format to be utilized when creating, sending and updating calendar reservations to ensure that IT support, when needed, is communicated. 

Format of Room Calendar Reservation

  • TITLE of Calendar Reservation
    • Typically follows this format: <MANDATORY (if mandatory), <Cohort>, <Course Name>, <Class Name>
      • Example: MANDATORY, P1, HAPP1, Course Introduction
      • Example of non-mandatory class: P1, HAPP1, Course Introduction
  • REQUIRED (attendees): If IT support is needed, please include media@neomed.edu as a Required attendee.
  • LOCATION: This would be the Simulation Lab (once it is added to the Room List); and
  • BODY/CALENDAR DESCRIPTION:
    • When IT support is needed, the following three items are added to the body/description of the room invite: Type, Faculty and Media. More on each below:
      • Type: This notes whether this session is a Lecture, Panel, Workshop, or Other type of session.
      • Faculty: List the faculty that are teaching this session (when known) – this information is used in Echo to associate the lecture recording with a faculty’s account in EchoVideo.
      • Media: This notes what type of support is needed. Utilize one of the following codes for the corresponding support needed:
        • Startup - This is starting the audio/video technology in the room and logging into the instructor PC so it is ready to go
        • Echo360 - This is Startup + recording the lecture via EchoVideo and pushing the recording it to a corresponding course in Canvas
        • Zoom - This is Startup + running a non-recorded hybrid session utilizing Zoom
        • Zoom Record - This is Startup + running a recorded hybrid session utilizing Zoom. The recording will be pushed to a corresponding course in Canvas.
