Project Management Office

The IT Project Management Office (PMO) works to support the strategic goals of the university and IT organization by providing Project Management and Business Analysis services to help guide initiatives to successful completion.

Below is an illustration of the project management and business analysis tasks that are considered best practices of a PMO. Enterprise-wide initiatives must follow these and require a formal project manager. The IT Project Manager can serve in a consulting capacity if not assigned as the PM.

These standard practices are followed for the following reasons:

  • Responsible use of NEOMED resources
  • Efficiency
  • To facilitate better communication and visibility of initiatives

All of the Execution items are essential in ensuring that projects are analyzed and planned to help prevent wasted time.

 

What is a Project?

A project is a temporary endeavor undertaken to produce a unique product, service, or result.

IT also uses the following criteria to define a project:

  • Requires more than 40 hours of work
  • Requires resources from 2+ IT teams (or more than 40 hours of work from one IT team)
  • Has a significant level of impact or complexity
  • Is not related to existing daily operations
  • Requires coordination with external vendors and/or with multiple NEOMED departments

 

How do I submit a Project Request?

All requests can start as a Help Desk ticket (TD Client Portal). If your request is a project, additional information may be requested to facilitate vetting and prioritization. Large initiatives (e.g., university-wide or multidivisional impact) will require a formal project charter, business justification, budget approval, etc.

 

Business Analysis

Our Business Analyst (BA) performs a variety of tasks:

  • Acts as the liaison between the customer and the technical team
  • Documents user requirements for system modifications, new reports, third-party applications, etc.
  • Provides guidance on proper testing and/or facilitates testing sessions

**The above items are required for requests for reports or extracts that are considered "Official University Reports"

  • Documents current processes
  • Listens and understands a customer’s needs (vs. wants)
  • Helps with configuring new systems
  • Provides requirements for system integrations
  • Works with the project team to research possible solutions and help determine the best tool for the job, whether it be an existing NEOMED application, a third-party application, or an application custom developed by our staff
  • Participates in the evaluation, selection and implementation of third-party systems
    • Assists in documenting and prioritizing requirements
    • Helps to identify gaps in functionality and propose solutions to address them
    • Assists with new system configuration, including any required interfaces to existing NEOMED systems
    • Assists with proper testing prior to implementation
  • Provides training to customers on new applications
  • Assists developers with support tickets as needed
