Overview

This article explains how to use YuJa Panorama to check digital materials for accessibility using the DocHub tool. It’s designed for faculty and staff who want to improve their document’s accessibility with automated reports and issue breakdowns.

What is the YuJa Panorama Doc Hub?

YuJa Panorama is a standalone tool that analyzes documents—such as PDFs, Word files, and PowerPoint presentations—for accessibility.

YuJa’s DocHub tool offers a clear, actionable scoring system to improve the accessibility of digital content. It generates a score based on how well the content aligns with accessibility standards and identifies areas for improvement.

Uploading Materials to the DocHub

To begin:

  1. Log in to YuJa with your NEOMED email and password.

  1. From the main dashboard, navigate to DocHub.

  1. Click Upload Document and select the file(s) you want to analyze.

  1. Once uploaded, YuJa automatically generates an Accessibility Report.

  1. Click on the Accessibility Report to view your document’s accessibility issues.

Understanding the Accessibility Report

Each document receives a score from 0 to 100, based on factors such as:

  • Use of headings

  • Alt text for images

  • Table structure

  • Color contrast

  • Document language settings

A score of 90% or higher will show a High Accessibility Score

A score of 45 – 89% will show a Medium Accessibility Score

A score of less than 45% will show a Low Accessibility Score

Major Versus Minor Issues

YuJa categorizes issues by severity:

  • Severe Issues: The document is not accessible (e.g., the pdf is untagged).

  • Major Issues: These significantly affect accessibility (e.g., missing alt text, improper heading structure).

  • Minor Issues: These are less critical but still worth addressing (e.g., decorative images without alt text, font size).

Start by fixing severe and major issues; this will quickly improve your score and make your content more usable for all learners.

Fixing Issues

From the DocHub, click the file you want to fix. The Alternative Formats Menu will appear. From there, select the Accessibility Report.

Making Changes

Click on the Accessibility Report to see the accessibility issues and make revisions.

  • The first part of the Accessibility Report shows a summary of the accessibility issues.

  • The second part of the Accessibility Report shows the individual issues and provides options to Check Issue or Fix Issue.

  • As you make revisions, they will appear in the third part of the Accessibility Report.

  • Note, you may need to edit the original file source (i.e., Adobe Acrobat or PowerPoint) and re-upload to YuJa to check your progress.

  • Once you are done making revisions, be sure to click Apply Changes.

Creating Alternative Formats

  1. To review the available formats, click on the thumbnail for the file.

  1. To select a format, hover over it and select Generate.

  1. Several alternative formats are available, depending on the original file. Formats may include: Text File, Gradient Reader, Audio Podcast, Language Translations, PDF, Immersive Reader, EPUB, OCR formats, and Braille.

  1. Once processed, new options will appear: View, Download, and Reprocess.

Sharing Documents in DocHub

Individual File Sharing

  1. To share an individual document with other users in DocHub, hover over the file preview and press share.

  1. Type the email of any other Panorama user to grant access to that document. They will be able to view and edit the accessibility report for the file.

Folder Sharing

  1. To share an entire folder in DocHub, press the three dots located on the folder. Press Share.

  1. Type the email of any other Panorama user to grant access to that folder and contained documents.

  1. Adjust the level of permissions for each shared user. Users can either view or edit.

Tips for Success

  • Use the built-in accessibility checkers available in most content creation tools, such as Microsoft Word, PowerPoint, Excel, and Adobe Acrobat, while creating your materials first. These tools can help you identify and fix common accessibility issues before uploading to YuJa.

  • Aim to address severe and major issues first, not for perfection. This approach helps you focus on the most impactful issues first and build momentum toward fully accessible materials.

  • Tackle one document at a time. Small steps lead to big impact.
