Two-factor Authentication (DUO) - One-time Setup

Background Information

DUO has been chosen as NEOMED's two-factor authentication solution, which is basically an additional verification of your identity and will help protect against hacking, phishing attempts, etc. The following link describes what two-factor authentication (also referred to as multifactor or MFA) is and why we need it. MFA is currently set up for accessing Microsoft 365 (portal.office.com), the NEOMED Success Center and VPN. The first time you access these applications after your account is activated, you will be prompted for your password and you will need to go through the one-time setup, which entails installing the DUO Mobile app on your smartphone and completing the enrollment process.

You do not need to install anything on the computers/laptops that you are using to access NEOMED email, the NEOMED Success Center or VPN. You only need to install the DUO Mobile app in order to respond to the DUO prompt that gets sent in order to confirm your identity.

**Note** The NEOMED Success Center and VPN are only available to NEOMED faculty/staff.

Enrollment Instructions

Follow the instructions below to self enroll.

(**These instructions are for an iPhone, but are very similar for other devices.)

Make sure you have your computer and smartphone available and are on a secure WiFi connection (not "guest"). Check your General settings on your smartphone for updates - it is recommended that your phone has the most current OS updates.

1. Download and install the free DUO Mobile app on your phone. You install this app just like other apps on your phone - ex. the App Store.

Be sure to choose Allow to the following prompt:

DUO will check your phone for security issues during the installation - you may see the following screen. You can review the issues discovered and tap Fix Now or tap Fix Later to address them at a later time.

**The University strongly recommends those items are fixed in order to protect your own personal information as well as the University information that may be accessed from your device.

Once the app is installed, you will receive the following Welcome screen:

 

2. Enroll your Device

This is what you will see when trying to access your email before you are enrolled.

  • If you are using Outlook on your computer, you will see a warning symbol (!) indicating that you need to provide your username and password.

Click Start setup

Choose Mobile phone

Enter your phone number and click Continue

Select your type of phone, then click Continue

Before you click I have Duo Mobile, make sure the DUO Mobile app is downloaded and installed on your mobile device - and be sure to choose Allow to the following prompt:

Once the app is installed, you will receive the following Welcome screen:

Click the + at the top right to automatically activate by scanning a QR code (black and white box on your computer screen).

Tap OK to allow the app to use your camera to scan the QR code. Hold your phone up to your computer screen and it should scan the QR code. If it scans correctly, you will see the screen below.

Tap Continue. You should see the message below confirming that your enrollment was successful and showing you what the DUO prompt will look like when you access Microsoft 365 (portal.office.com) or VPN.
