Google Workspace - Closure of NEOMED Domain

NEOMED had been using Google Workspace for Education up until 2011. After this time, the University transitioned to Microsoft 365 for email, cloud storage, and productivity applications and Google Workspace for Education became unsupported/unmanaged. After more than 10 years, NEOMED will be shutting down Google Workspace for Education effective January 3, 2023, and as such, your Google Account and any data stored (Google Photos, Google Drive) associated with that Account will be removed and no longer accessible.

IMPORTANT: This change only affects accounts and data stored within Google Workspace for Education. Any data, accounts or email address associated with Microsoft 365 will not be affected by this change. NEOMED alum can continue to utilize NEOMED email through Microsoft 365 and existing, active NEOMED students/employees can continue to utilize Microsoft 365 applications (OneDrive, email, etc.) If you currently have a Microsoft 365 email account, any emails delivered to the Google email account will be delivered to your Microsoft 365 account when Google Workspace for Education will be shut down.

If you need a copy of any information from your Google Account, you should review important next steps below before your Google Account is closed on January 3, 2023.

How Do I Know I Have a Google Account and/or a Microsoft 365 Email Account?

Please refer to the email sent by the NEOMED Help Desk on October 11, 2022, which states whether you have a NEOMED Google Account as well as whether you have a NEOMED Microsoft 365 email account.

If I Have a Microsoft 365 Email Account, How Do I Access It?

If the NEOMED Help Desk email sent on October 11, 2022 stated you have a Microsoft 365 email account, you can log in to your account at https://outlook.office.com. If you have not previously used your Microsoft 365 email address, please refer to the Accessing NEOMED Email Using Microsoft 365 Knowledge Base article for assistance.

Before Your Google Account is Closed

Once your NEOMED Google Account has been closed, you will no longer be able to:

  • Send emails from your Google Account
  • Receive emails sent to your Google Account
  • Access emails you sent or received in the past
  • Store/retrieve data from Google Apps (e.g., Google Photos, Google Drive)

Given the changes take effect on January 3, 2023, we are encouraging you to transfer/download your data from your Google Account to your personal account/device before your access expires on January 3, 2023.

How to Download/Transfer Data from Google Account

To avoid losing information saved within any Google application, you must transfer all files you wish to save to personal accounts or devices before your access expires. You can utilize Google Takeout to copy/transfer your files to a personal Google Account or download your data locally to your device.

As an alternative to storing your information locally, you can use a free or paid cloud storage option (contingent on the amount/size of data you have.) Some examples are below:

Other Considerations

If you do not have a NEOMED Microsoft 365 email account and gave your Google Account email address as the contact or account recovery email for personal or business accounts such as Facebook, bank accounts, etc.:

  • It’s important that you update the email address associated with those accounts to something other than your NEOMED Google email address as soon as possible.
  • If you do not, you may find that you are unable to update, reset the password, or perform any action for which that account requires you to confirm your identity by responding to an email they sent to your Google email address.
  • Should you find yourself in that situation, you will need to work directly with the company involved to have your email address updated in their system. NEOMED’s licensing agreement with Microsoft prevents us from reopening your Google Account unless your affiliation with the University changes and again qualifies you for access.

What if I Have Already Lost Access?

Unfortunately, after January 3, 2023, Google Workspace for Education accounts and associated data will not be recoverable. If you are an alum or current student/employee, please contact the NEOMED Help Desk for assistance related to your NEOMED Microsoft 365 account.
